Data protection information for applying for and using BusDoc

The protection of your personal data is a high priority for us. The following data protection information provides you with a detailed overview of the processing of your personal data by Daimler Buses GmbH. Personal data means any information relating to an identified or identifiable natural person. With this data protection notice, we inform you about the type, scope and purposes of the collection of personal data at Daimler Buses GmbH and how we handle this data. In addition, we would like to inform you about your rights in relation to the processing of your personal data.


1. Covering to whom does this data protection notice apply?

For customers who apply for a new user via the contact form on our www.omniplus.com page in order to obtain and use access to our BusDoc replacement parts and workshop information system. As well as customers who make use of a maintenance service or use BusDoc for their own performance and documentation of the maintenance.


2. Who is responsible for the processing of my data and who can I contact about data protection?

3. Where does my data come from and what data is processed?

You use the contact form to create a new user for BusDoc on our www.omniplus.com page. For this purpose, you provide us with your personal data, such as company name, address data, VAT ID/tax number, commercial register no., name and contact data of the contact person (e-mail, telephone, mobile), user ID. This data is then sent to your local bus contact person (the Daimler Buses Group or an authorised partner) for verification. After verifying your data and authorization, we will create your user account in BusDoc. You can then use our BusDoc replacement parts and workshop information system. Relevant data that we process as part of your use of BusDoc is your surname, first name, telephone number, e-mail address, information on your order, as well as the vehicle identification number (VIN) and the licence plate number of your vehicle(s), if applicable your dealer ID, when performing or using a maintenance service.


4. What is my data used for (purpose of processing) and on what basis (legal basis) is this done?

We process your personal data in order to be able to check your authorization to access our BusDoc replacement parts and workshop information system and subsequently grant the access you have specified and requested. During your use of BusDoc, certain data may need to be processed by us in order to provide you with support in the system and to be able to prove the order history. Our workshops use their data to record maintenance, e.g. for warranty and goodwill reasons, or to provide proof of maintenance.

The legal basis is pre-contractual measures, as well as your contract with us for the use of BusDoc in accordance with Art. 6 para. 1 lit. b GDPR.


5. For how long will my data be stored?

Data relating to your system application will be stored for up to 3 years. Your user data and order information in BusDoc will be deleted in the system 2 years after your blocking. Data on your orders in the BusDoc Self Service is stored for the duration of your BusDoc use.

Data on maintenance work on your vehicle(s) will be stored for 7 years and your vehicle identification number (VIN) for 35 years.


6. Will my data be passed on?

The personal data you enter in the contact form on our www.omniplus.com page is first stored by us in Germany and then transmitted to the local bus contact person you have entered (the Daimler Buses Group or an authorised partner) for verification.

For the provision of BusDoc and any necessary system maintenance in this context, we use an IT service provider as a processor in Switzerland, Star AG, Ramsen. Switzerland has an adequate level of data protection. This was determined by the EU Commission by an adequacy decision (in accordance with Art. 45 GDPR).

Your data will be forwarded to the aforementioned companies of the Daimler Buses Group, the authorised partners and service providers in strict compliance with the obligation of confidentiality and the provisions of the GDPR and the Federal Data Protection Act. We have concluded proper contract processing agreements in accordance with Art. 28 GDPR with the processors commissioned by us, who may only process the data for us and not for their own purposes.


7. Will my data be transferred to a third country or to an international organisation?

We transmit your personal data from the contact form “Create new user” on our www.omniplus.com page to the local bus contact person you have entered (the Daimler Buses Group or an authorised partner) for verification. Depending on the country from which you contact us and the country in which the local bus contact person you name is based, we may transfer your data (from the point of view of the EU) to a third country.

Since countries outside the European Economic Area (EEA) generally do not have an EU level of data protection, we contractually ensure that measures are taken by our partners to ensure a level of data protection corresponding to the level of data protection in the EU/EEA. We will be happy to provide you with information on this using the contact details provided. The companies of the Daimler Truck Group are also bound by the strict data protection regulations of the Daimler Truck Group.


8. What rights do you have as a data subject?

As a data subject, you have the right to information (Article 15 GDPR), rectification (Article 16 GDPR), erasure (Article 17 GDPR), restriction of processing (Article 18 GDPR) and data portability (Article 20 GDPR).

You have the right to lodge a complaint with a data protection supervisory authority if you are of the opinion that the processing of your personal data infringes the GDPR (Article 77 GDPR).
